How to Create and Manage Mobile Passes

What Are Mobile Passes?

The mobile pass feature allows fans to reuse their pass for a predetermined amount of time. Mobile passes can be used for tournament events, sporting season events, or all events (sports, performing arts, etc). 

Mobile passes are different from both season tickets and regular GoFan tickets. With season tickets, you receive a ticket for each event created in that season, and these tickets do not reset after using them, whereas a mobile pass would. Compared to a regular GoFan ticket, a mobile pass can be reused multiple times depending on the redemption window determined when created, as well as the duration of the pass itself. 

How Are Mobile Pass Fees Different from Other Ticket Types?

It is important to note that a mobile pass fee structure is different from regular GoFan tickets. With regular tickets, anything under $10 receives a $1 fee, and anything over $10 receives a $1 + 5% fee.  With all mobile passes, the fee structure is set to $2 + 5% of the ticket price. 

How to Create a Mobile Pass

Start by clicking on Create a mobile pass from the menu in the Dashboard.

Required Settings

Event Type: Here, you can define Activity and the Sports level, Gender, and Sports Level. 

Schools: Add/Edit Opponent(s) or Participant(s) for your event by searching in the Add another school box. Your school will be listed as the Home & Financial school by default.

Pay attention to the school's logo, city, and state. This can make sure you choose the correct one.

Pass date and time: This is the actual date and time your pass will be valid. The time zone will automatically be set to the school’s time. You can also choose All Day Event by turning the toggle on (blue) if you don't want to specify a time.

Pass Name: You can specify a particular Pass Name that will appear on your GoFan event page.

The Ticket Redemption Window is set as the time frame (in hours) for a pass to reset after use. A typical redemption window time would be 1 hour.  The ticket redemption window is when a pass will be available after its initial use. The lowest a redemption window can be set is .10

Venue information: This will be pulled in directly from your school settings. However, if you have a unique venue for this event or a specific location at the venue, you can update it here. After making adjustments, you can hit Update to publish the changes live to your GoFan Page. 

 

Optional ​​​​​​​Settings

Pass visibility: If you want to hide your pass due to the use of a hidden link(s) or you want to set the pass to go live on the site at a later time and date, turn on Hide this pass from the school's GoFan page on.

Passes on Sale: If Tickets go on sale immediately when this event is added is turned off, you can specify when pass sales start and end. 

Access and Promo Codes: This is optional, depending on your pass needs. Click on Learn more for more information on how to take advantage of this feature.

Alert: A bar that will appear at the top of GoFan.co with any high-priority information. For example, ”Masks Required”.

Collect additional information: Use this option to collect additional information when your customers purchase passes. See the Collecting additional ticket information knowledge article for more information.

Custom Descriptions:

  • Ability to customize your event page with images and robust text formatting to ensure that fans purchasing passes have necessary and relevant information. Important to note that images should be no larger than ~1000px wide, as a larger image could cause performance issues on both the HQ and GoFan sites.
  • You can define an Event Theme that appears on your GoFan event page.
  • custom sports name will overwrite the sport on your GoFan event page.
  • The description is a detailed description of your event. For now, it is text-based only, but you can reach out to our team if you need additional formatting.

Pin to Top will put this pass at the top of the Upcoming Events list on GoFan.

The Buyer Purchase Limit limits the number of passes available per order. Fans can go through the funnel and complete multiple orders, but this limits the number of passes per order.

You can choose your Event payment cycle for your pass by choosing a Calendar-based or an Event-based cycle. Click here to learn more about the different payment cycles.

 

Setting up Mobile Passes

Pass Availability is the total amount of passes you want to sell. If you don’t want to limit sales, choose Unlimited passes.

 

Click Add Pass Type and fill in the ticket information. Please note Attendee pays fee is turned on by default. Turn this off if you would like the school to absorb the fee.

Please note that Box Office tickets are not available for mobile passes.

 

Optional pass settings will allow you to define the start date and time for a specific ticket. You will also have the option to Set the maximum number of passes a customer can purchase per order for the ticket. Other options include the number of uses per pass and if you would like to make it a family pass. 

Review and Publish

Take a quick minute to review your setup. If everything looks good, just click Publish Event on the bottom right, or you can click either of the Edit buttons if you need to make any changes.

How Do I Send A Complimentary Mobile Pass?

All complimentary mobile passes must be sent through the individual mobile pass event created in HQ, and will function accordingly depending on how the original mobile pass was set up.

Complimentary mobile passes are entirely free for the receiver, and no charge will be associated with sending this pass for the school.

From your Dashboard in PlayOn HQ, click on the Mobile Pass Event.

 

From the individual Event Summary page under the Quick Actions section, click on the Manage Attendees dropdown and the Go button. 

Under the Manage attendees page, click on the blue-lettered Comp passes section.

Enter the required information and click Send.

You have now sent a complimentary mobile pass.
