How to Create Single-Day Tournaments in HQ

Depending on the details of your Tournament, there are several different event set-up options with GoFan.

 

If you are selling tickets for each day or each session separately, we recommend creating a Single-Day Tournament for your event. 

 

To get started, you can go ahead and navigate to GoFanHQ. Select the Create an event link on your GoFanHQ Dashboard.

 

Step 1: Required Settings​​​​​​​
  1. Select the relevant Sport. You can only select a single sport at a time
  2. ​​​​​​​Select the correct Gender & Level. If the gender is unspecified, choose “coed”. You can select multiple levels here as well. For example, Girls Junior Varsity. This selection will flow into your reporting and GoFan event pages.
    1. Add all the participating teams as Opponent(s) or Participant(s) for your tournament by searching in the “Search schools to add” box. By default, your school will be listed as the Home & Financial school. 
      1. Hint: Pay attention to the school's logo, city, and state. This can make sure you choose the correct one.
    2. Define the Tournament Date & Time for the tournament to start. This is the actual time your tournament will start. You will want to make the dates range the length of the tournament (ex. 9/17/2021 5:00 PM - 9/17/2021 9:00 PM). The time zone will automatically be set to the school’s time. This time is essential, as fans can purchase and use (redeem) tickets for your tournament until this date and time. By default, this will be 4 hours from your tournament start time.
    3. You can specify a particular Tournament Name here. This will appear at the top of your GoFan tournament page.
    4. Gate Opening Time controls when your tickets become available for use. By default, this is set to 6 hours before the tournament begins. You can also notate “valid anytime” if you want to be able to validate tickets at the gate immediately.
    5. Venue information will be pulled in directly from your school settings. However, if you have a unique venue for this tournament or a specific location at the venue, you can update it here.
    6. Once you're done, click “Next”.

 

Step 2: Editing Optional Settings​​​​​​​
 
  1. Event visibility - Once published, your tournament will be visible on GoFan.co within 15 minutes. If you want to hide this due to the use of private links or set the tournament to go live on the site at a later time and date, turn this toggle on (blue)
    1. If toggled on, you can set a publish date and time for the tournament to show up on your GoFan page.
  2. Tickets on Sale - Again, your tournament will be available for sale within 15 minutes after publishing. If you want to wait to put this on at a later time and date, it can be set here.
    1. Note: Setting an end time while the tournament is still going on will restrict your ability to sell on GoFan.co.
    2. ​​​​​​​​​​​​​​If toggled off, you can set a ticket on-sale date and time for the tickets to be purchased.
  3. Event Alert is the bar that will appear at the top of GoFan.co with any high-priority information. For example, ”Masks Required”.
  4. Custom Descriptions:
    1. Ability to customize your event page with images and robust text formatting to ensure that fans purchasing tickets have necessary and relevant information. Just so you know, images should be no larger than ~1000px wide, as a larger image could cause performance issues on both the HQ and GoFan sites.
    2. You can define a custom theme for your tournament, which appears on your GoFan event page
    3. custom sport name will overwrite the sport on your GoFan event page
    4. The description is a detailed description of your tournament. For now, it is text-based only, but you can reach out to our team if you need additional formatting
  5. ​​​​​​​Pin to Top will put this tournament at the top of the Upcoming Events list on GoFan.
  6. Buyer Purchase Limit limits the number of tickets available per order. Today, fans can go through the funnel and complete multiple orders, but this limits the number of tickets per order.
  7. ​​​​​​​Once you're done with this page, click “Next”.

 

Step 3: Setup Ticket Types
 

Description: Ticket types are tickets on sale for the tournament. Creating tickets here will automatically create tickets for Box Office.

  1. Ticket Availability is the total amount of tickets you want to sell for the tournament. If you don’t like to limit capacity, choose “Unlimited tickets”.
  2. Ticket Types are the tickets you’d like to sell for the tournament. Click the blue “Add ticket type” button to add a ticket type.
  3. Ticket name will appear on your tournament. The price is the price of your ticket before fees.
    1. The tickets will be available to redeem only once on any day of the tournament; if you are interested in creating a tournament pass where fans can redeem their ticket multiple times, check out the Tournament Pass article.
  4. Current status allows you to turn on and off sales.
  5. Once you've added your ticket types, click "Next".

 

Step 4: Review & Publish 

 

Take a quick minute to review your tournament setup. If everything looks good, just hit "Publish Event".  If you've set your tournament to show immediately (not hiding the tournament), your tournament should be live on GoFan within 15 minutes.
