Once your events have been published, you can use GoFanHQ to make changes at any time. You can access your events directly from the Dashboard and Events by using the hamburger menu in the top left-hand corner.
Use the overflow menu by scrolling right to view, Edit, Duplicate, Reschedule, Cancel, or Delete your event.
You can also view and edit an event by clicking on the event name in the Event Name column. The visibility column on this view allows you to update the event from Visible to Hidden. If the event is set to Hidden, it will not appear on your GoFan Page but can be accessed via a private link. If the visibility is set to Visible, your event will appear on your GoFan Page.
After you select your event from the Event name menu, you can choose to edit various sections of your event.
Editing Required Settings
- Select the relevant Sport. You can only select a single sport at a time.
- Select the correct Gender & Level. If the gender is unspecified, choose “coed”. You can select multiple levels here as well. For example, Girl's Junior Varsity. This selection will also flow into your reporting and on your GoFan event pages.
- Add Opponent(s) or Participant(s) for your event by searching in the “Search schools to add” box. By default, your school will be listed as the Home & Financial school
- Hint: Pay attention to the school's logo, city, and state. This can make sure you choose the correct one.
- Define the Event Date & Time for the event to start. This is the actual time your event will start. The time zone will automatically be set to the school’s time. You can also choose “All day event” by turning the toggle on (blue). You can also choose to specify an event end date & time. This time is essential, as fans can purchase and use (redeem) tickets for your event until this date and time. By default, this will be 4 hours from your event start time.
- You can specify a particular Event Name here or allow the default of Home vs. Opponent to save. This will appear at the top of your GoFan event page.
- Gate Opening Time controls when your tickets become available for use. By default, this is set to 6 hours before the event begins. You can also notate “valid anytime” if you want to be able to validate tickets at the gate immediately.
- Venue information will be pulled in directly from your school settings. However, if you have a unique venue for this event or a specific location at the venue, you can update it here.
- After making adjustments, you can hit “Publish” to publish the changes live to your GoFan Page. If you want to continue to make adjustments, click “Next”.
- Add Opponent(s) or Participant(s) for your event by searching in the “Search schools to add” box. By default, your school will be listed as the Home & Financial school
Editing Optional Settings
- Event visibility - Once published, your event will be visible on GoFan.co within 15 minutes. If you want to hide this due to the use of private links or set the event to go live on the site at a later time and date, turn this toggle on (blue)
- If toggled on, you can set a publish date and time for the event to appear on your GoFan page.
- Tickets on Sale - Your event will be available for sale within 15 minutes after publishing. If you want to wait to put this on at a later time and date, it can be set here.
- Note: Setting an end time while the event is still going on will restrict your ability to sell on GoFan.co or Box Office.
- If toggled off, you can set a ticket on-sale date and time for the tickets to be available for purchase.
- Event Alert is the bar that will appear at the top of GoFan.co with any high-priority information. For example, ”Masks Required”.
- Custom Descriptions:
- You can define a custom theme for your event, which appear on your GoFan event page
- A custom sport name will overwrite the sport on your GoFan event page
- The description is a detailed description of your event. For now, it is text-based only, but you can reach out to our team if you need additional formatting
- Pin to Top will put this event at the top of the Upcoming Events list on GoFan.
- Buyer Purchase Limit limits the number of tickets available per order. Today, fans can go through the funnel and complete multiple orders, but this limits the number of tickets per order.
- After making adjustments, you can hit “Publish” to publish the changes live to your GoFan Page. If you want to continue to make adjustments, click “Next”.
Edit Ticket Types
Description: Ticket types are simply the tickets on sale for the event. Creating tickets here will automatically create tickets for Box Office.
- Ticket Availability is the total amount of tickets you want to sell for the event. If you don’t like to limit capacity, choose Unlimited tickets
- Ticket Types are the tickets you want to sell for the event. Click the blue “Add ticket type” button to add a ticket type.
- Ticket name will appear on your event. The price is the price of your ticket before fees.
- Current status allows you to turn on and off sales.
- Once you've added your ticket types, hit "Publish"
